What We Built

We built a two-platform sales engine that keeps cold outbound isolated in Outreach.io and promotes a record into HubSpot and Salesforce only after it signals real intent, like a booked meeting or clinical review request. A library of 50-plus sequences branches on the prospect's current EMR, with Notion battlecards mapped sequence-by-sequence to each clinical persona.

The Challenge

The sales team was losing deals to Epic, a dominant EMR provider that had begun offering native competitive tools. Internally, reps were winging it with clinical personas, which led to inconsistent talk tracks. The CRM itself was becoming a graveyard of cold data. There was no circuit breaker between cold outbound activities and the primary sales pipeline.

Our Approach

We enforced a strict Platform Split. Cold prospecting lived entirely in Outreach.io. Only after a lead signaled real intent, such as a booked meeting or clinical review request, was the record promoted to HubSpot and Salesforce. At the same time, we built a matrix of over 50 email sequences tailored to specific hospital roles, plus competitor-specific battlecards to address the Epic threat in real time.
