The Challenge
The portal suffered from "property sprawl": 219 custom contact properties and 117 custom company properties dragged down data entry and reporting. The bigger failure was in the automation layer. With 595 active workflows running, the RevOps team lost visibility into how lead scoring, regional routing, and Salesforce sync triggers connected. Nearly a third of these workflows, 180 in total, were flagged as high-risk: redundant, conflicting, or built on field logic that no longer existed in the primary CRM. This "ghost logic" caused intermittent sync errors with Salesforce and data discrepancies in the 6Sense and Drift integrations.
Our Approach
We audited in two stages: property mapping, then workflow isolation. We cataloged every custom property to find orphans and duplicates, targeting those that weren't syncing to Salesforce or being used in active campaigns. Once the property floor was stable, we ran a risk assessment of the automation engine. We isolated the 180 at-risk workflows into a "containment" state and tested the impact of deactivating them on lead lifecycle stages.
For active integrations, including 6Sense and ZoomInfo, we re-mapped the data flow so high-intent signals hit the correct fields instead of being overwritten by legacy workflows. The core lead-to-revenue pipeline stayed operational throughout the cleanup.
