The Challenge
The firm managed lead flows for thousands of accounts worldwide. Assignment ran on a matrix of "Firm Type" (Hedge Funds, Institutional Investors, and similar), "Product Interest," and "Region." Under the legacy setup, that logic was opaque, and it broke often during the sync between marketing automation platforms and Salesforce. Moving those rules into HubSpot couldn’t create sync errors or record duplicates, and it had to keep existing Salesforce ownership rules intact.
Our Approach
We used a "Staged Sync" approach. Leads were enriched and validated in HubSpot before they moved to regional Salesforce queues. We mapped specific Salesforce picklist values to HubSpot custom properties. That built a validation layer checking inputs like "Firm Description" and "Business Email" domains. We replicated the complex Oracle-based routing logic inside HubSpot workflows. That meant niche segments, such as Institutional Management in Japan, got real-time rep assignment with none of the latency manual processing added.
