The Challenge

The sales team was experiencing a "noise-to-signal" crisis, where the Pardot-to-Salesforce sync was flooding the CRM with MQLs that lacked immediate business intent. Because there were no mandatory disqualification fields or standardized lead status updates, the marketing team had no visibility into why certain leads were being ignored. This feedback loop failure resulted in marketing continuing to optimize for volume while sales increasingly tuned out all CRM notifications, missing high-value enterprise opportunities buried in the clutter.

Our Approach

A "Gatekeeper" triage protocol replaced the old process. We defined a strict set of "MQL Readiness" criteria that combined behavioral scoring with firmographic validation. We rebuilt the lead status picklist in Salesforce to include mandatory "Disqualification Reasons," so every rejected lead gave marketing a data point to optimize against. To solve the sales fatigue, we introduced a triage stage where marketing reviewed high-value account activity before triggering a sales task, so the human-to-human handoff carried verified technical intent.

How do you handle "Sales Fatigue" if the lead volume is low but the quality is still perceived as poor?

The triage logic shifts from filtering to contextualization. We run automated data enrichment steps before the lead hits the CRM, so the sales rep already has a deep profile of the prospect. That reduces the perceived effort of the outreach and increases the perceived value of the lead.

Why use a manual triage for high-value accounts instead of full automation?

In a capped TAM of fewer than 1,000 entities, a single "burnt" account is a significant loss. Manual triage for Tier-1 accounts acts as a final QA gate, aligning timing and messaging with the target executive’s current context, for example recent social posts or news.
