A national document services enterprise wanted an outbound AI prospecting tool. The goal: scale SDR output without adding headcount.
The hard constraint was conversational. The tool had to send emails, manage ongoing multi-reply conversations, and sync that data back to HubSpot contact records.
What We Built
We ran a vendor evaluation of four major AI platforms and recommended Intercom (FIN AI) as the primary outbound engine. The specific reason: its superior multi-step threading compared to the native CRM options.

The Challenge
An "Autonomous Threading" gap defined the constraint. The client needed an agent that could carry the back-and-forth of prospecting: asking clarifying questions, handling objections, booking meetings. A reactive knowledge base wouldn't cut it.
The December 2025 evaluation surfaced the problem with staying native. HubSpot's Customer Agent was optimized for "one-and-done" support queries and lacked the autonomous email capabilities that active outbound outreach requires. It behaved like a localized FAQ system for inbound traffic. Relying on native tools would have meant fragmented sequences and manual SDR intervention on every reply, which defeats the purpose of the automation.
Our Approach
We ran a comparative stress test across Intercom, Zendesk, Forethought, and HubSpot. Three pillars drove the evaluation: multi-step thread maturity, native HubSpot sync depth, and autonomous objection handling.
Intercom's FIN AI won on the sync. It provided the most stable "sync-back" to HubSpot contact records, so SDRs could watch AI-managed conversations appear in the CRM timeline in real time. The rollout recommendation was phased: Intercom handles active prospecting while HubSpot stays the central source of truth for all lifecycle stage updates. The tradeoff bought superior AI capabilities without giving up the data centralization of the HubSpot instance.

A four-vendor matrix (Intercom, Zendesk, Forethought, HubSpot) tested for functional parity. Three of the four vendors failed on the same technical disqualifier: no native, multi-threaded email prospecting logic that could operate outside a live-chat window.

A suppression list workflow in HubSpot prevents overlap with existing SDR sequences. Any contact already in an active human-led sequence gets excluded from AI agent outreach automatically. The two motions never collide.
