The Challenge

The primary constraint was the "speed vs. depth" trade-off at the trade show booth. Using legacy WordPress forms required prospects to enter redundant information, leading to high abandonment rates. Without a mechanism to log specific interests, such as "Heat Load" versus "Capital Cost," the subsequent follow-up was generic, failing to address the 18-month design-phase cycles typical of the industry's $400k+ projects.

Our Approach

We deployed dedicated HubSpot landing pages optimized for mobile booth-tablet use. Standard forms gave way to progressive profiling, which recognized existing contacts in the 11,000+ record database and asked only for new information. We also added a "Primary Pain Point" field. Based on this value, leads were automatically enrolled into one of two nurture tracks: a "Technical/Efficiency" track for engineers and a "Procurement/Compliance" track for contractors.

We configured the event forms to use "queued" fields. If the prospect's "Company" or "Job Title" was already known from the legacy database, those fields were hidden, and replaced with questions regarding "Project Timeline" or "Current System Constraints."

A HubSpot workflow was built to trigger 24 hours post-capture. It branched contacts based on the "Primary Concern" property. "Heat Load" values triggered a technical whitepaper on thermal efficiency, while "Capital Cost" triggered a value-engineering case study.

For this implementation, we prioritized HubSpot-hosted landing pages over third-party apps to ensure direct CRM sync. In scenarios with spotty connectivity, we advise using the HubSpot mobile app's offline business card scanner as a fallback, which cues the sync once a connection is restored, preserving the "Pain Point" data logged by the rep.
Why prioritize "Pain Point" logging over traditional BANT (Budget, Authority, Need, Timeline) at the booth?
In industrial manufacturing, "Need" and "Timeline" are often tied to long-term design phases ($400k+ projects). BANT can feel intrusive and slow down booth traffic. By logging a technical pain point (e.g., Heat Load) instead, we capture the Why behind the project, which allows for a high-value content follow-up that naturally reveals the Budget and Authority later in the nurture cycle.
