The Challenge
The legacy Salesforce Marketing Cloud instance held 925,556 total records. Many lacked email addresses or valid opt-in statuses. Only about 43% of the database was actually marketable, so a wholesale migration would have put IP warming and deliverability at real risk.
The education side of the business also needed a hierarchical data model. Salesforce handled that natively; HubSpot had to replicate it through custom objects tracking specific Courses, Classes, and Registrations linked back to individual Contacts. On top of that, high-volume reseller accounts and the organization's own institute account threatened to blow past HubSpot's 10,000 record association limit during the historical sync.
Our Approach
A technical audit defined the Entity Relationship Diagram (ERD) before any data moved. We configured a four-tier custom object hierarchy, Course > Class > Registration > Contact, to keep professional certifications intact.
To handle the lead volume, we applied strict filtering logic during the Salesforce connector authentication so only marketable contacts synced. For the revenue streams, we mapped Salesforce Opportunities to HubSpot Deals across four primary pipelines: Devices, App Subscriptions, Certifications, and Health Professionals. Each lifecycle stage got specific entrance and exit criteria. "Health Professional" and "Organization" segments routed to sales, while general consumers stayed in automated nurture tracks.

We filtered the sync and moved registration data into custom objects. During the migration, we identified that the overarching Institute account and top Resellers would exceed association limits if every historical contact synced. Restricting the sync to marketable contacts, and housing registration data in custom objects, offloaded some association weight from the primary Company-to-Contact relationship.
