A Tier 1 Automotive F&I provider had outgrown its legacy HubSpot usage. It needed enterprise-grade Sales and Marketing architecture that could handle complex dealership hierarchies.

A dedicated SQL Deal Pipeline with Group/Rooftop association labels. Mandatory stage-gate Playbooks enforce data hygiene across the whole dealership network.

Not a fit for transactional B2B models with flat account structures. Also not a fit for sales cycles that don't need multi-entity association or rigorous discovery documentation.
The Challenge
Thousands of contact records sat in the legacy environment with no standard link to their parent dealership groups. Attribution broke. No one could track deal progress across multiple locations (rooftops). Sales reps worked without a unified framework, so discovery calls ran inconsistently and "Closed Lost" outcomes carried no usable reason codes. Nothing enforced the organization's "Diagnostic Lead" philosophy. Leadership had little visibility into which specific operational pain points were driving or stalling revenue.
Our Approach
We re-engineered the CRM architecture to match the real automotive dealership hierarchy. "Group" and "Rooftop" association labels now link individual sites to their respective corporate entities within a single deal record. To enforce the methodology, we hard-coded HubSpot Playbooks into the "Discovery" and "Diagnostic" stages. These Playbooks act as mandatory data-capture gates. A deal can't advance until the rep logs specific operational variables. To keep the pipeline healthy, we built automated validation workflows. They flag records missing associated contacts or meeting markers on a 24-hour delay, forcing immediate corrective action.

Every stalled deal now requires a completed, standardized closed_lost_reason property before it closes out. Those reason codes feed high-fidelity post-mortem analysis of the exact friction points that stall sales.

Daily deal-based validation workflows ended manual auditing. Owners get alerted to orphaned records or missing meeting logs within one business day of deal creation.
Scaled to 30 Enterprise Seats and 1.6M Emails
The portal scales to 30 Sales Enterprise users and up to 1.6 million emails. Global IP filtering excludes internal traffic from regional offices, which keeps lead scoring accurate.
