The Challenge
A "noisy" funnel treated interest as intent. The system created an Opportunity record the moment a user clicked a Facebook Lead Ad. That produced an artificially high pipeline value that clinical staff couldn't realistically manage or close. A "lost middle" of 2,639 contacts also had no lifecycle classification, so the RevOps team couldn't tell which patients were ready for a consultation and which had stalled in the awareness phase.
Our Approach
We ripped out and replaced the legacy lifecycle automation. The new rule: SQL status only kicks in once a "Talk to Advisor" meeting is actually attended, not just booked. We built "cleanup" workflows that scanned the database and retroactively assigned lifecycle stages based on historical activity, reclassifying the 2,639 neglected records. To prevent future bloat, we added a custom "intent-gate" on all forms so only high-value queries, like specific Veneer price requests, bypassed the standard lead-nurture path.

Standardized Sales Handover
We created a repeatable "Talk to Advisor" workflow. It captures patient details and clinical intent before a Deal opens in the CRM.
We used a multi-step branching workflow to backfill lifecycle stages. It prioritized the most recent clinical interactions and form submissions, categorizing 2,600+ records.
We reconfigured the native HubSpot-Meta integration to map ad clicks to 'Subscriber' or 'Lead' status only. That removed automated creation of Deals/Opportunities at the first touchpoint.
Custom hidden fields on landing page forms capture treatment interest: Veneers vs. General, for example. High-value inquiries escalate straight to SQL status. Advisors follow up immediately.
