The Challenge

A "noisy" funnel treated interest as intent. The system created an Opportunity record the moment a user clicked a Facebook Lead Ad. That produced an artificially high pipeline value that clinical staff couldn't realistically manage or close. A "lost middle" of 2,639 contacts also had no lifecycle classification, so the RevOps team couldn't tell which patients were ready for a consultation and which had stalled in the awareness phase.

Our Approach

We ripped out and replaced the legacy lifecycle automation. The new rule: SQL status only kicks in once a "Talk to Advisor" meeting is actually attended, not just booked. We built "cleanup" workflows that scanned the database and retroactively assigned lifecycle stages based on historical activity, reclassifying the 2,639 neglected records. To prevent future bloat, we added a custom "intent-gate" on all forms so only high-value queries, like specific Veneer price requests, bypassed the standard lead-nurture path.

How does this model handle patients who book a consultation but fail to show up?

Standard CRM setups mark a booking as "Opportunity." Our logic holds these contacts at the MQL stage instead. They only progress to SQL/Opportunity once the "Meeting Outcome" is verified as "Attended." That keeps the sales pipeline showing only patients who actually met with a clinical advisor.

What was the technical process for remediating the 2,639 contacts with missing lifecycle data?
We built a "Funnel Reconstructor" workflow that looked at the most recent activity dates and specific clinical properties. If a contact had a treatment fee in the last 12 months, they were marked as "Customer"; if they had an upcoming booking, they were marked "SQL." This cleared the backlog without requiring manual record review.
