Multi-Hub Operational Enablement and Lead Routing for Regulated Biotech Teams
A cell therapy manufacturer was still tracking ISO-certified lab leads by hand. The leads needed automated HubSpot routing. We paired a 40-hour technical training curriculum with custom notification routing mapped to specific research inquiries. Fragmented operations became a governed, data-driven multi-hub pipeline.
Executive Summary
Context
A Pittsburgh-based biotechnology leader operates 13,000+ sq. ft. of laboratory and cleanroom space. It manufactures investigational cell therapies there.
What We Built
We built a ~40-hour enablement program and an automated lead-routing architecture. It drove cross-departmental HubSpot adoption.
Tech Stack
- HubSpot (Marketing, Sales, Service, Content Hubs), Google Analytics 4, and localized notification routing logic.
Small teams with simple lead flows aren't a fit. Nor is an organization that doesn't need specialized notification routing and multi-hub governance.
The Challenge
The client had a sophisticated laboratory footprint, but lead management stayed fragmented. Inbound inquiries for research contract services and skeletal muscle-derived cells (skMDC) were often tracked by hand or siloed in individual email inboxes. There was no unified notification architecture. Response times suffered, and the bounce rate hit 76.89%. No system verified high-intent conversion events like "Free Trial" requests.
Our Approach
We deployed a multi-phase enablement roadmap in July 2024. Its core was a ~40-hour curriculum tailored to the specific functional roles of Marketing, Sales, Service, and Admin leads. Beyond standard training, we engineered a technical routing layer that directed inbound "Contact Us" and newsletter leads to specific experts, Renz and Japo. In February 2025, we finalized the operational baseline by calibrating GA4 destination goals. Every digital conversion now attributes properly to the new multi-hub architecture.
Impact
40-Hour Role-Specific Training Curriculum
The training curriculum ran ~40 hours. It let functional leads in Marketing, Sales, and Service execute on ISO-certified quality standards within HubSpot.
Automated Lead Chains of Custody
Direct notification routing for research and manufacturing leads, Renz and Japo, replaced manual handoffs. Specialized inquiries now reach the correct technical experts immediately.
Verified Conversion Baselining
GA4 destination goals now track "Free Trial" and "Contact Us". That gave the organization its first hard-data baseline for digital ROI.
Unified Data Governance
We consolidated four HubSpot Hubs under a single enablement framework. Siloed reporting disappeared. A consistent audit trail now covers clinical and research inquiries.
We developed a ~40-hour technical training program. It mapped HubSpot's Enterprise features directly to the client's cell therapy and manufacturing operations, skipping generic feature explainers for real operational workflows.
We engineered specific notification triggers for inbound forms. Specialized leads for GMP manufacturing or laboratory services now route directly to the right technical subject matter experts.
We configured event tracking and destination goals within GA4, including "Contact Us" thank-you pages. This synced technical SEO performance with HubSpot CRM lead creation.
We established a standardized permissions matrix during training. Admin, Sales, and Service leads maintained appropriate access levels, consistent with internal data governance policies.
A multi-hub HubSpot pipeline architecture designed for ISO-certified laboratory leads. It transitions operations from manual tracking to automated custom notification routing, specifically tailored to handle complex research inquiries across specialized biotech sales teams.
FAQ
Generic training doesn't work in a regulated biotech environment. It misses HIPAA-sensitive data rules. It misses the routing ISO-certified lab leads need. Our curriculum focuses on where the platform meets the client's manufacturing operations.
We bypass the general "info@" catch-all. Leads route directly to the functional lead responsible for that specific cell therapy or service line. This shortens the chain of custody, so technical inquiries land with experts who have the right scientific background.
