We deployed a scalable HubSpot Marketing Hub architecture on HubDB. One easily managed master template dynamically renders unique landing pages and automates enrollment pack delivery for all 80 schools.

A large metropolitan Catholic education diocese tracked leads manually at the school level. It needed a centralized inbound methodology across 80 unique primary and secondary campuses.

A "Two-Speed" HubSpot implementation. A HubDB-controlled landing page engine pairs with localized automation logic for Open Days and enrollment pack distribution.

Not a fit for single-campus schools. It's also wrong for organizations that prefer localized data silos over a centralized master database.
The Challenge
The existing EOI system was heavily manual and had no real-time tracking. Leads disconnected somewhere between Marketing Qualified Lead (MQL) and Opportunity. With 80 different schools needing unique event dates and localized content, a standard page-cloning approach would have piled up an unmanageable volume of technical debt, plus high risk of human error in event scheduling. Legacy network security rules (Z-Scaler) and existing Sitecore dependencies complicated the initial deployment of reporting and SSO access.
Our Approach
A "Two-Speed Model" balanced methodical core architecture against high-speed tactical deployment. Instead of hundreds of static pages, HubDB became the master database for school data, Campaign Landing Pages, and automated emails. One template serves 80 unique school experiences based on URI parameters. We chose to leave the legacy "ETS" enrolment system out of the first build. The HubSpot foundation had to be stable before any complex bi-directional syncs were attempted.

Parents download enrollment packs instantly from school-specific landing pages. Application intent lands in the database with no manual work from school administrators.
Regional Data Governance
A HubSpot Data Centre Migration delivered regional compliance. Sitecore sync integrity also held post-migration, through close and continued coordination with IT.
Centralized Open Day Management
The HubDB infrastructure lets recurring dates and "Add-to-Calendar" functionality update globally, all at once. Each school's specific event schedule still stays localized.
HubDB drives the landing page templates. Page paths are generated dynamically based on each unique school row, which means a single HubSpot template can handle 80 unique URLs without cloning.
Workflows fire dynamic HTML KBE templates based on specific form selections, such as "Request an Enrolment pack" versus "Request a tour." Parents receive immediate, relevant documentation.
Strict data entry rules in HubDB prevent URL breakage. Each school needs a unique page path with no spaces or non-ASCII characters, kept under the 1024-character threshold.
A "No-CSV" rule governs date updates in HubDB. Standard CSV imports corrupted date formatting and produced incorrect form displays for school events, so all date-sensitive updates moved to manual entry for accuracy.
