Tiered Annual Plan Messaging Launched a Month Apart

Hero featured image

An annual service plan isn't one message repeated on a schedule. A plan-tier-plus-add-on key reads which of three tiers a household holds, and whether it carries a rodent-monitoring add-on. It then routes that household to its own welcome, pre-service, post-service and renewal content across the year.

Executive Summary

Context

A residential and commercial pest control services provider needed its annual home-protection plan to speak differently to a top-tier customer with an add-on than to an entry-tier one, across an entire year of scheduled contact rather than a single generic reminder.

What We Built

We built a tier-and-add-on-aware content set for an annual home-protection plan: a welcome email for a household's first service, pre-service and post-service messages that change by tier, and renewal content. It launched in New Zealand and then in Australia a month later, on the same cadence as the client's other renewal program.

Tech Stack

  • Microsoft Dynamics properties and workflows for plan-tier and add-on segmentation
  • Mural for workshop-stage flow mapping
  • Lucidchart for the finished flow diagrams handed to the build partner

Not a fit without a plan-tier property already recorded against each household, since the segmentation depends on knowing which tier and add-on a customer holds before the first message goes out. It also depends on a Microsoft Dynamics environment and a willingness to launch a market at a time, since the two countries went live a month apart rather than together.

The Challenge

The annual plan had three tiers plus a separate rodent-monitoring add-on. A single round of generic renewal content would have treated a top-tier household with the add-on the same as an entry-tier one without it.

The retainer's brief called for a message set that covered the full year, with welcome, pre-service, post-service and renewal messages that changed by what a household actually held. It also had to reach two countries, without waiting for one build to finish before starting the other.

Our Approach

We keyed every message to a plan-tier property that the household record already held, so entry-tier, mid-tier and top-tier customers each received their own pre-service and post-service wording and not one shared version. A separate add-on flag layered on top of that. A household with the rodent-monitoring add-on entered a monitoring contact cadence of roughly six months, and we introduced it in the welcome email at first service instead of announcing it later as an upsell.

The welcome email fires at a household's first service. Pre-service content fires ahead of each year's scheduled visit, post-service content follows it, and renewal content targets the plan's annual anniversary.

New Zealand went live on 1 October 2024 with the welcome email only, and the rest of the sequence followed once content cleared review. Australia launched a month later, on 1 November, with the full set from day one.

Impact

A tier-and-add-on key, not a shared renewal email

The same plan-tier property that sets a household's price point also sets which welcome, pre-service and post-service wording it receives. A top-tier household and an entry-tier one read different content at the same point in the annual cycle, instead of one shared renewal email.

Messaging keyed to a monitoring cadence, not a one-time upsell

A household with the rodent-monitoring add-on hears about its roughly six-month monitoring contact inside the plan's own welcome email, at first service. It doesn't have to discover the add-on's cadence through a later, separate campaign.

A staggered two-country launch on one cadence

New Zealand launched with the welcome email on 1 October 2024, and Australia followed with the complete pre-service, post-service and welcome sequence a month later, on 1 November. That's the same stagger we held for the client's Traditional renewal program.

This year's content became next quarter's alert

The December retainer reused this program's content for a quarterly alert send, and we planned a January evergreen and re-engagement campaign on top of it. That campaign deliberately excluded New Zealand, because its home-protection base was still too new to hold a lapsed customer to re-engage.

Technical Blueprint
1

A property on the household record carries which of three plan tiers it holds. Every welcome, pre-service and post-service message checks that property before it decides what to say, so plan holders don't all get the same wording.

2

A separate add-on flag marks whether a household carries the rodent-monitoring option. That flag sets a contact cadence of roughly six months, which we introduce inside the welcome email at first service so that the household hears about it as part of its plan and not as a later pitch.

3

The welcome email covers a household's first service. Pre-service and post-service content bracket each year's scheduled visit, and renewal content targets the plan's annual anniversary. We wrote each piece for the tier and add-on that the household actually holds.

4

New Zealand's launch on 1 October 2024 carried the welcome email, and the rest of the sequence followed as content cleared review. Australia's launch a month later, on 1 November, carried the full pre-service, post-service and welcome set from the start.

Diagram of a household's plan tier and add-on flag deciding which welcome message it gets and whether it joins a six-month monitoring cadence.

A household record carries a plan tier and an add-on flag, and a check on both decides which messages the household receives. The welcome email fires at the household's first service. For a household with the rodent-monitoring add-on, that email introduces a monitoring contact that repeats roughly every six months.

FAQ

Why does a rodent-monitoring add-on get its own message cadence instead of a single upsell email?

The add-on flag is checked separately from plan tier. A household that adds rodent monitoring hears about its roughly six-month contact cadence inside its own welcome email at first service, and not through a later campaign that assumes every plan holder needs the same message.

Why did New Zealand launch with one email while Australia launched with the full sequence?

New Zealand's 1 October go-live carried the welcome email while the remaining pre-service, post-service and renewal content finished review. Australia's launch a month later, on 1 November, had the full set ready and went live complete.
