We re-engineered the lead nurture sequences as a series of "conditional loops." Static drip campaigns went away. In their place, dynamic workflows in HubSpot check for clinical milestone flags before every single outbound message.

The architecture spans a full 360 days of nurture. If a lead purchased a test kit but didn't book a consultation, HubSpot would trigger a sequence of Twilio SMS reminders. A custom API listener monitored the "Memo" ERP for a "Consultation Booked" event. The moment that event was detected, an API call updated the contact record in HubSpot and forced an immediate exit from the nurture workflow. We use a "Verify-Before-Send" logic. Before any Twilio SMS is triggered, the HubSpot workflow runs a final check against the contact's current Clinical Milestone property. If the property has been updated by the ERP in the last few seconds, the message is aborted.
