The Challenge
The "attribution gap" between event spend and candidate placement was the primary bottleneck. Event data lived in Bullhorn. It sat there as flat text notes or separate lists. So the CMO couldn't trigger HubSpot marketing automation based on who actually showed up to a dinner versus who just registered. The firm's most valuable networking signals never reached its digital nurturing strategy.
Our Approach
We implemented a dual Custom Object structure: Functions represent the event itself, and Attendance represents the candidate's interaction with that event. The many-to-many relationship tracks a single candidate across multiple events over several years. Syncing "Checked-In" statuses from the ATS into the Attendance object created a "warmth signal" marketing could finally act on. The CMO now deploys high-value content only to people who actually engaged in person. Executive-level communication stays exclusive and highly relevant.

Linking the "Attendance" object to "Placement" data lets the CMO report on the direct revenue impact of specific industry functions. The firm can now double down on high-performing event formats. Formats that don't contribute to placements get sunset.

The "Attendance" object carries properties for "Role" (Speaker, Attendee, VIP) and "Status" (Invited, Registered, Attended). Automation gets granular. Speakers receive different post-event emails than general attendees, for example.
The Pipedream middleware recognizes event-specific webhooks from Bullhorn. When a candidate joins a "Shortlist" (representing an event guest list) in the ATS, the middleware creates the matching Custom Object record in HubSpot and associates it with the Contact.
Event attendance carries heavy weight in the firm's lead scoring model. An "Attended" status on the Custom Object adds significant points to a candidate's profile. The candidate moves into "Placement Ready" lists, which recruiters monitor daily.
"Attendance" records control who gets access to exclusive post-event resources, like whitepapers or session recordings, served through HubSpot's gated CMS pages. Premium content stays a "members-only" benefit reserved for event participants.
